Clermont County Clerk of Court: Records & Services
Need to find a Clermont County court case, check a hearing, obtain a certified copy, pay a traffic ticket, file a court document, transfer a vehicle title, or apply for a passport? The important first step is knowing which Clerk’s office handles your task.
Clermont County has separate Common Pleas and Municipal clerk operations, along with division-specific access to Domestic Relations, Probate and Juvenile matters. A felony case, divorce decree and speeding ticket do not follow the same process.

Which Clermont County Clerk of Courts Handles Your Record?
The Clermont County Clerk of Courts is not one universal counter for every legal matter. Even the search systems are separate. Use the case type to choose the correct office before searching or visiting.

How to search by name without choosing the wrong person
- Start with the correct court division and the full legal name.
- If no match appears, try the last name and a narrower date or case-type clue.
- For companies, check alternate legal names or abbreviations.
- For criminal cases, compare charge type and filing date; do not treat a name match as proof of a conviction.
- For divorces, check Domestic Relations instead of the General Division.
- Once you find a potential match, preserve the case number before requesting documents or contacting staff.

Court Filing Fees, E-Filing, Payments & Traffic Tickets
Clermont County’s clerk services cover more than record searching. The offices accept filings, maintain court dockets, process payments and manage certain court costs. The correct fee and payment method depend on the division.
Selected Common Pleas General Division fees
| Filing or service | Published fee | Important note |
|---|---|---|
| New civil case | $250 | General Division published schedule |
| Foreclosure | $850 | Check current deposits and service requirements |
| Judgment debtor examination | $125 | Court process and service requirements may apply |
| Garnishment | $150 | Confirm applicable form and procedure |
| Appeal to Twelfth District | $225 | Deadlines are separate from filing fees |
| Ordinary copies | $0.10 per page | Certification is separate |
Fees shown above are from the Common Pleas Clerk’s published General Division schedule. Confirm current charges and whether additional deposits, service fees or statutory costs apply before filing.
How to file a Common Pleas General Division document electronically
- Open the Clerk’s General Division e-Filing page.
- Check whether your filing category is among the allowed new-case or supplemental e-filing types.
- For new complaints, include the required Classification form.
- Prepare the correct filing document and other required attachments. The published maximum upload size is 35 MB.
- Enter the filer details and select the file type.
- Submit the filing using the available form.
- Arrange required fee payment separately. The Clerk states that e-filing payments cannot currently be accepted electronically and must be mailed or deposited in person.
- Verify acceptance and filing status instead of assuming the submission alone completes the filing.
Traffic tickets and fines
- Open the Municipal Clerk’s official website.
- Choose the Traffic Division or Payments page.
- Review whether your specific charge requires a court appearance.
- Use the court’s official payment route only when your citation is eligible for payment without appearing.
- Keep the receipt and verify the case afterward when appropriate.
Certain charges, including OVI and reckless operation matters, may require a court appearance. Never assume that paying a traffic amount online resolves an appearance requirement.
Auto Titles, Passports, Appeals and Other Clerk Services
Vehicle and Watercraft Titles
The Common Pleas Clerk’s Auto Title Division processes titles for motor vehicles and qualifying watercraft and collects relevant title taxes.
It is different from the BMV deputy registrar’s driver-license and registration functions.
- Open the Auto Title Division page.
- Choose Batavia, Milford or Beechmont.
- Review the title transaction type and required documents.
- Bring the properly completed ownership papers, identification and applicable payment.
- Check notarization requirements before signing a title assignment.
U.S. Passport Applications
Since October 1, 2026, passport applications are handled at the Auto Title offices rather than the Common Pleas Courthouse.
- Open the Clerk’s Passport Services page.
- Choose one of the listed Auto Title passport acceptance offices.
- Prepare the correct Department of State DS application form.
- Bring citizenship evidence, photo identification, photocopies and a passport photo.
- Prepare separate application and execution payments as instructed.
- Confirm acceptance hours and current fees before visiting.
The Clermont passport page states that its local acceptance offices do not provide passport photo services.
Twelfth District Court of Appeals
The Common Pleas Clerk receives and maintains appeal-related documents for cases appealed from Clermont County courts to the Twelfth District.
Many appeals are subject to a 30-day notice-of-appeal deadline from the final appealable entry, but exceptions and specific rules may apply.
- Open the official appellate services page.
- Identify the trial-court case number and final appealable order.
- Check the current appellate and local rules.
- Confirm the correct filing process and deadline promptly.
Additional Clerk Responsibilities
The Common Pleas Clerk also maintains official filings, issues summonses and warrants through appropriate court processes, processes bonds, and collects authorized costs, fines and restitution.
Clerk personnel can explain office procedures, filing requirements and record access, but cannot advise which legal claim or defense you should use.
