Collier County FL Clerk of Court: Records & Services

Looking for a Collier County court case, a criminal disposition, a divorce or probate record, a recorded deed, or a certified copy? The Collier County Clerk of the Circuit Court & Comptroller maintains the records, but its different online systems serve different purposes.

This guide shows where to search, which fields to use, how to read the results, what to do if a document is not online, how much ordinary copies cost, and which services are available at the Naples courthouse and selected satellite offices.

Which search is correct? Use ShowCase for court cases, dockets, court dates and financial obligations. Use Official/Land Records for recorded deeds, mortgages, liens, plats and other instruments. For unavailable court filings and certified copies, use the Clerk’s document-request service.

Independent public-information guide, researched October 2026. This site is not a government office and does not issue court documents or accept Clerk payments.

Collier County Court Records vs. Official Records

Court Cases

ShowCase Judicial Records

Use the court case search for civil lawsuits, felony and misdemeanor cases, divorce and family cases, probate proceedings, qualifying traffic cases, dockets, case dates and certain fees owed.

Official court-search information
Official / Land Records

Recorded Documents

Use the recording system for deeds, mortgages, liens, satisfactions, recorded judgments, declarations of condominium, notices of commencement, plats and other recorded instruments.

Official Records inquiry
Board and Public Records Commission minutes and county materials

The Clerk also maintains Board of County Commissioners meeting minutes, Value Adjustment Board records and certain county-government administrative information.

Tax Deeds and Foreclosures Property sale-related proceedings

Use the corresponding Clerk service for foreclosure final judgments, tax deed lists and public-sale rules rather than treating a recording index as an auction notice.

Open the Clerk’s Records Search directory to choose Court Records, Official Records, BMR Records, Foreclosures, Tax Deeds or Value Adjustment Board information.

Important distinction: a lien or judgment can appear as a court filing and also as a separately recorded instrument. The judicial case history and the county recording index are not interchangeable evidence of a property’s current legal status.
Search the official court case system

How to Search Collier County Court Cases by Name, Number or Citation

The Clerk’s public ShowCase system provides online court case information without a viewing fee. It supports several search options and allows users to narrow results when they know the case type, approximate filing period or another identifier.

01Open ShowCase 02Enter Search 03Verify Case 04Read Docket
  1. Open the official court portal. Visit Collier Clerk ShowCase, or follow the case-search link on the Clerk’s website.
  2. Choose Case Search. Open the search dialog from the main page.
  3. Select the most useful field. Search by Case Number, Last Name or Business Name, First Name, Citation Number, and supported filing-date or court-type criteria.
  4. Use Exact, SoundEx or Starts With when helpful. These available search modes help handle spelling variations and broad results.
  5. Enter accurate information. If you know the full case number, it is generally more precise than a name-only search.
  6. Submit the search. Review the results and narrow the search when too many unrelated cases appear.
  7. Open the matching case. Compare the case number, parties, court type, division, filing date and status.
  8. Read the docket or case events. Identify motions, hearings, orders, judgments, dispositions and relevant document images.
  9. Save the correct case number. This is useful for Clerk contact, payments, certified copies and subsequent searches.

ShowCase fields and search tips

Search optionWhat to enterWhen useful
Case NumberFull number appearing on the court filing or notice. Most precise when known.
Last Name / Business NameParty surname or legal business name. When the case number is unknown.
First NamePerson’s given name.Narrowing a common surname.
Citation NumberCitation identifier from the official ticket.Traffic-related searches.
From / To DateKnown or approximate filing period.Reducing numerous name matches.
Court TypeRelevant civil, criminal, probate, traffic or other category.Filtering cases from unrelated divisions.
Search TypeExact, SoundEx or Starts With.Handling spelling variations.
System-specific search technique: the Clerk’s ShowCase instructions explain that searches are not case-sensitive. A percent sign (%) can be used as a wildcard for partial names. For example, entering a portion of a business name between percent signs can help locate variations of the registered name.

See the official ShowCase user guide (PDF) for the search fields and examples.

Don’t rely solely on a name match. Different people can share names. Check the party roles, case number, dates and docket before connecting the record to a particular person.
Court divisions

What Collier County Court Records Can You Search?

Civil County and Circuit Civil

Cases involving disputes, claims, motions, orders and judgments assigned to the relevant court division.

Criminal Felony and Misdemeanor

Available charges, criminal dockets, hearing events, sentencing, dismissal and case outcomes.

Family Law Divorce and Domestic Relations

Eligible petitions, dissolution cases, family-court orders and case history, subject to privacy restrictions.

Access may be limited under Florida law and court electronic-record rules.

The Clerk’s official Court Divisions directory provides separate information for civil cases, criminal cases, family law, probate, guardianship, juvenile, mental health, traffic, jury service and e-filing.

Confidentiality: not every document is available online. Florida’s court-record access rules restrict various adoption, juvenile, mental-health, guardianship and confidential filings. A public search account does not override the law.
Understand the result before taking action

How to Read Collier County Dockets, Documents and Court Case Status

The Clerk’s online case search can provide case status, court dates and fees owed. These details help you identify what happened, but a docket description is not a substitute for reading the actual order or judgment.

Case NumberThe unique reference used for future searches and record requests.
Party or Business NamePeople or organizations listed in the court matter.
Filing DateWhen the case or document was filed, not necessarily the underlying event date.
Docket EventA filing, hearing, notice, order or other recorded activity.
DispositionThe recorded result or status of the proceeding or a charge.
Document ImageAn electronically viewable filing, where public access is authorized and an image is available.
Important interpretation: a criminal charge is not a conviction. A motion filed is not necessarily a motion granted. Check later orders and final dispositions rather than drawing a conclusion from the first docket entry.

If a recent court event is missing

  1. Confirm that the case number and division are correct.
  2. Refresh the search and check any later docket entries.
  3. Review the Clerk’s disclaimer concerning online case-data accuracy.
  4. Contact the appropriate department at 239-252-2646 when you need official confirmation.
  5. For a hearing or filing deadline, follow the official court notice rather than treating an incomplete search as cancellation.
Recorded real-estate and other county documents

How to Search Collier County Official Records, Deeds and Mortgages

Collier County’s separate Official/Land Records system contains recorded instruments, including deeds, mortgages, liens, plats, satisfactions, recorded judgments, marriage-related recordings and other instruments permitted by Florida law.

Search recorded documents by name or recording reference

  1. Open the official Official/Land Records inquiry system.
  2. Select Document Search.
  3. Enter the last/first name, business name, instrument number or book and page.
  4. Choose a document type when appropriate, such as Deed, Mortgage, Lien, Satisfaction, Judgment or Notice of Commencement.
  5. Use the Start Date and End Date filters if you know an approximate recording period.
  6. Submit the search and compare the parties, dates and instrument details.
  7. Open a viewable recorded image and verify the actual document information.
  8. Request certified copies through the Clerk if formal authentication is required.
Alternative search fields: the Official Records system also provides Legal Search, Case Search and Map Search. For a recorded plat or subdivision, Legal or Map Search may be more useful than a person’s name.

Understanding Collier’s recorded-document date coverage

Period / systemWhat the Clerk indicatesWhat to do
1923 onward The Clerk’s FY2026 budget states its historical Official Records collection has been made accessible online back to Collier County’s founding in 1923. Use the current Official Records tools and request assistance for an image or index you cannot locate.
After April 1, 1981 The legacy COR Public Access user guide describes searchable records from this period, with limitations on some fields. Search by name, instrument or book/page as appropriate.
After September 1, 2003 The older system’s guide identifies expanded legal-description and search options for records imaged from this date. Try Legal Search or additional property information where supported.
Coverage distinction: historical online availability does not mean that every year and every index field work the same way. If an early document cannot be found, use another available index or request staff assistance instead of concluding the record does not exist.

Modern recording-search features

The Clerk’s upgraded Official Records platform supports useful features such as multi-party searches, filtering and sorting, exports of result lists, available parcel-ID cross-references and text searching in selected documents.

For additional instructions, visit the official Recording Resources page.

Records that do not appear in the search

How to Find Older Collier County Court or Recorded Records

An older document might be indexed differently, have no remotely accessible image, or require a historical search. Court cases and recorded instruments also follow different preservation and access rules.

  1. Identify whether you need a court file or a recorded instrument.
  2. For court matters, search ShowCase by case number, party and approximate filing dates.
  3. For recorded instruments, retry the Official Records name or book/page index.
  4. Save any index reference or recording number that appears.
  5. Open the relevant Clerk’s records request page.
  6. Provide the names, date range, case or instrument number and exact document required.
  7. Ask whether the Clerk can retrieve an older file or prepare a paper or electronic copy.
  8. Confirm any staff-search fee, certification and delivery charge before paying.
Official record disclaimer: the Clerk states that online index data and images are provided as research aids, not necessarily complete substitutes for the official record. The full official record may be inspected at the Clerk’s office during regular business hours.

How to use Collier County eCertify

Check whether electronic certification is accepted: the Clerk warns that some government agencies, including the Social Security Administration in some circumstances, may not accept electronically certified copies. Some older documents may require alternative searches or Clerk assistance.
