Escambia County Clerk of Court: Records & Services

The Escambia County Clerk of the Circuit Court & Comptroller handles more than court dockets. It also manages Official Records, public-records services, e-Certify, Board of County Commissioners records, tax deed and foreclosure sale records, marriage records, payments and court-division services. The fastest path is to choose the correct record family before searching.

Quick route: use Case Search for court cases by name, case number or citation number. Use Official Records for recorded documents such as deeds, mortgages, liens, judgments and plats. Use the Public Records Center or E-Certify when you need copies, certification, confidential/un-redacted access, or a record that is not available online.

Independent guide reviewed September 2026. Confirm current fees, filing rules, office hours, access restrictions and certified-copy requirements on the official Clerk website before relying on a record.

Which Escambia Clerk Record System Should You Use?

Escambia’s Clerk site separates court case search, Official Records, online public records, Public Records Center requests, e-Services and e-Certify. A deed will not behave like a criminal case. A citation search will not find an old deed book. A confidential court document may not be available to anonymous public users.

Escambia Official Records: Deeds, Mortgages, Liens, Plats and Older Books

Official Records are different from court dockets. The Clerk’s Official Records Department records instruments required or authorized by statute, including deeds, mortgages, plats, notices of commencement, powers of attorney and liens. It also provides eRecording information, recording forms, plat books and historic deed-book routes.

Use Official Records for
  • Deeds and mortgages
  • Liens and judgments
  • Plats and subdivision records
  • Notices of commencement
  • Powers of attorney
  • Affidavits, contracts and recorded instruments
Useful old-record routes
  • Historical Deed Book Index for deed records from 1820–1982
  • Plat Books for digital e-books of land divisions
  • Marriage index and marriage records by date range
  • Tax deed sales and county lands available records
  1. Open Official Records Search. Use Escambia County Official Records Search.
  2. Choose the best search route. Search by instrument number, name, book/page, legal description, case number, parcel clue or other available official-record fields.
  3. Match document type and recording date. A name match is not enough; compare the instrument type, grantor/grantee, legal description, book/page or instrument number.
  4. Use old-record tools when the modern search fails. Historic deed records and older marriage records may be routed through the Clerk’s older indexes or microfiche information.
  5. Use the recording page for forms and eRecording. Notices of commencement, lien forms and recording-fee calculators belong in the Official Records/Recording area.
  6. Use E-Certify when eligible. Digitized public official records can be purchased as electronically certified documents when available.
Official Records address: the Clerk lists Official Records/Recording at 221 Palafox Place, Suite 110, Pensacola, FL 32502. Official Records hours are listed separately from general office hours.

Escambia E-Certify: Court Records and Official Records

Escambia’s Electronic Certification of Documents service can provide electronically certified documents for eligible court documents and official records. The Clerk describes these as secure, reusable and verifiable e-certified documents of digitized public records.

Court records

Search by case number

For E-Certify court records, remove all spaces from the case number and include all leading zeroes.

Official records

Search by instrument or name

Official records may be searched by instrument number or grantor/grantee name.

Authentication

Verify later

Each e-certified document receives a unique reference number and can also be authenticated by uploading the original PDF.

  1. Decide whether the document is a court record or official record. Use the correct E-Certify route for the document type.
  2. Format court case numbers correctly. For E-Certify, the Clerk says to remove spaces and include all leading zeroes; for example, 2089 CA 123 becomes 2089CA000123.
  3. Search official records by instrument number or grantor/grantee name. Use the strongest official-record clue you have.
  4. Complete the order with the recipient email. After submitting the order, the recipient receives an email to access the certified document.
  5. Open the encrypted PDF in a standard PDF viewer. The Clerk says the PDF viewer verifies authenticity and whether the document has been modified since issuance.
  6. Authenticate the document if needed. Use the unique reference number or upload the original PDF through the authentication page.
Protected records: confidential, sealed or protected court documents must be requested from the Public Records Center by email, in person or by U.S. mail. Some official records that are confidential, sealed or protected can continue to be certified only in person with a hand stamp or raised seal.

Escambia Clerk Services: Pay, File, Request, Bid, View and Register

The Clerk’s E-Services page groups common online tasks into action words: bid, e-Certify, file, register, pay, request and view. That structure is useful because a user trying to “find a record” may actually need to pay a citation, e-file a document, order certified copies, bid on tax deed property or view escrow-account information.

Task Where to start Practical note
Pay court costs, fines or fees E-Services Pay Have the case number, citation number or payment-plan information ready before starting.
E-file a court record E-Services File and the Florida eFiling Portal Filing a document and searching a record are different tasks; use the portal required for filing.
E-record an official record Official Records eRecording information The Official Records Department offers eRecording through multiple vendors.

Troubleshooting

No Escambia Record Found? Try This Recovery Path

A no-result screen can mean many things: wrong portal, wrong format, missing spaces, missing zeroes, required citation dashes, confidential access limits, older records, paper records, or a record held by another agency.

Problem Likely reason Best next move
Court case not found in Official Records Official Records is for recorded instruments, not ordinary court dockets. Search the court records system by name, Uniform Case Number, citation number or agency number.
Deed or lien not found in Case Search Recorded-property documents belong in Official Records. Search Official Records by instrument number, grantor/grantee, legal description or book/page.
Uniform Case Number search fails Spaces or leading zeroes may be wrong in court search. Copy the case number exactly from the court notice and follow the search-page example.
E-Certify case-number search fails E-Certify requires no spaces and all leading zeroes. Convert the case number into the Clerk’s E-Certify format before retrying.
Citation search fails Dashes may be missing or the citation may not be in the system yet. Enter citation dashes as shown by the official example, or search by name if appropriate.
Record exists but is not viewable The record may be confidential, sealed, protected, redacted, older, paper-based or above public access level. Use the Public Records Center, registration agreement or in-person proof-of-authority route.
